1.1 Purpose of Data Retention

We retain your data primarily to:

  • Ensure the continuous and uninterrupted provision of bookkeeping services;
  • Comply with Indian legal and tax obligations;
  • Resolve potential disputes or support transaction history inquiries;
  • Maintain accurate service and audit records.

1.2 Data Retention Periods

Data storage durations vary by data type:

Account Details: Your username, password, phone number, and email address are stored while your account is active. After deactivation, they are retained for up to 3 years for legal verification and system security.

Transaction and Record Data: Bookkeeping and expense records are kept for 5 years to meet accounting regulations and audit requirements.

Usage Information: Data on app activities and feature usage is retained for 2 years to facilitate feature improvements and performance optimization.

Device and Log Data: Technical and crash log information is stored for 1 year for troubleshooting and enhancing system stability.

All retained data is encrypted and safeguarded with layered security measures.

1.3 Protection of Retained Data

We implement stringent protection measures, including:

  • AES-256 encryption for both stored and transmitted data;
  • Restricted access control, ensuring only authorized personnel can handle user data;
  • Regular audits and monitoring to prevent data breaches, misuse, or unauthorized access.

2. Data Deletion Procedures

Should you decide to discontinue using Bhabhar Khata, you can request the deletion of your personal data at any time. Once deleted, your account and all associated information will be permanently removed from our active systems.

2.1 User-Initiated Deletion

To request data deletion:

  • Include your username and explicitly state your wish to delete your account and data.

We will:

  • Immediately flag your data as "Pending Deletion";
  • Complete the deletion process within 7 business days;
  • Send you a confirmation email upon completion.

Any information legally required to be retained (e.g., for tax or audit purposes) will be securely stored and anonymized where feasible.

2.2 Automatic Deletion

If your account remains inactive for 12 consecutive months (no logins or data updates), we will notify you via email 15 days prior to automatic deletion. If no response is received, your personal and bookkeeping records will be securely purged from our servers.

2.3 Third-Party Data Removal

If any data was shared with authorized third parties (e.g., analytics or storage partners), we will instruct them to erase your information immediately upon receiving your deletion request or following automatic deletion.

3. Important Notes

  • Once deleted, your account and stored records cannot be recovered.
  • Should you wish to use Bhabhar Khata again, you will need to create a new account.
  • We retain minimal information required for legal compliance and fraud prevention, as permitted by Indian law.
